- 1.Schedule move-ins and move-outs through the office so staff know which units are active on a given day.
- 2.Walk the access checklist before the move begins to confirm door and gate status.
- 3.Have security or front-desk staff monitor propped doors and loading areas during the move window.
- 4.Complete the after-move checklist the same day to reset access and confirm nothing was left insecure.
- 5.File the completed checklist with the unit's move record.
Before the move
- Move scheduled and confirmed with the office
- Move-in/move-out date and elevator or loading dock reservation shared with security or front desk
- New resident or vacating resident identity verified
- Access credentials (keys, fobs, gate remotes) tracked by number and assigned name
- Certificate of insurance collected for moving company if required by property policy
During the move
- Loading dock or service entrance monitored while doors are propped
- Propped doors never left unattended
- Moving truck or vehicle parked per property policy, not blocking fire lanes
- Common-area damage noted before move begins to avoid disputes
- Security or maintenance staff available for questions during the window
After the move
- All doors and gates confirmed closed and locked
- Old resident's access credentials deactivated or collected
- New resident's access credentials issued and logged
- Common areas checked for leftover boxes, debris, or damage
- Move-out unit inspected and photographed before re-key
- Checklist filed with unit's resident record
