Free Board Presentation Outline for Security Proposals

Boards approve security proposals faster when the problem, options, cost, and recommendation are presented in a clear, consistent order. This outline gives you that slide sequence along with talking points and a metrics table to track after approval.

Built for Property managers and HOA board members presenting a security recommendation for approval. · Updated 2026-07-15

PPO #122730

How to use it

  1. 1.Pull incident data from your incident-report-template records to build the problem statement slide.
  2. 2.Summarize vendor options using the security-vendor-comparison-checklist scores.
  3. 3.Bring in the numbers from the security-budget-worksheet for the cost slide.
  4. 4.Present a clear recommendation with a specific ask — approve budget, approve vendor, or approve pilot period.
  5. 5.Set a follow-up date to report back metrics after implementation.

Slide 1 — Problem statement

State the specific problem in plain terms: what happened, how often, and what it has cost in dollars, liability exposure, or resident/tenant complaints. Use dates and counts from incident reports rather than general impressions.

Slide 2 — Current coverage and gap

Describe what security coverage exists today, if any, and identify the specific gap — hours, locations, or response time — that is allowing the problem to continue.

Slide 3 — Options considered

Present two to three coverage options (for example: mobile patrol only, standing post, or a combination) with a one-line pro and con for each, drawn from your vendor comparison scoring.

Slide 4 — Cost comparison

OptionWeekly costAnnual costRecommendation
Option A
Option B
Option C (recommended)

Slide 5 — Recommendation and ask

State your recommended option in one sentence and the specific action you need from the board: approve the budget line item, approve the vendor selection, or approve a defined pilot period with a review date.

Slide 6 — Metrics to report back

MetricBaseline (before)Target after 90 days

Total monthly cost

Before you present

  • Incident data pulled and dated, not anecdotal
  • At least two vendor options compared, not a single quote
  • Cost presented as both weekly and annual figures
  • Clear, specific ask stated on the recommendation slide
  • Follow-up date set to report metrics after approval
