Free Patrol Schedule Planner Template for Property Managers

Randomized, documented patrol timing deters crime far more than a fixed schedule intruders can learn. Use this planner to block out coverage windows and checkpoints before you hand it to your patrol vendor or in-house staff.

Built for Property managers and HOA boards planning or reviewing mobile patrol and standing guard coverage. · Updated 2026-07-15

PPO #122730

How to use it

  1. 1.List your property's highest-risk areas and times first — parking lots, loading docks, pool or amenity areas.
  2. 2.Block out coverage windows for each day of the week, varying start times so rounds are not predictable.
  3. 3.Assign checkpoints per pass so patrol reports can be verified against the plan.
  4. 4.Share the completed planner with your patrol vendor and ask them to confirm they can meet it.
  5. 5.Review actual patrol logs against the plan monthly and adjust timing where incidents cluster.

Patrol plan quality check

  • Pass times vary day to day, not a fixed repeating loop
  • Highest-risk hours have coverage, not just business hours
  • Every checkpoint tied to a real problem area or asset
  • Vendor has confirmed staffing can meet the schedule
  • Escalation contact listed for after-hours issues
  • Schedule reviewed against actual incident times quarterly

Notes on use

Randomization matters: a patrol that arrives at the same time every night becomes predictable and loses much of its deterrent value. Ask your vendor how they randomize pass timing within your blocks.
