Vehicle Log Procedure

The written process for recording vehicles entering or leaving a property, including driver, purpose, and time, whether by hand or automated system.

A vehicle log procedure defines what information gets recorded every time a vehicle enters or leaves a controlled property — typically driver name, vehicle description or plate, destination or purpose, and time in and out — whether that's a paper logbook at a gate, a digital entry into a visitor-management system, or an automated LPR feed. The log matters because it's frequently the only record connecting a specific vehicle to a specific time window when something later needs to be investigated.

On a real gated site or warehouse, the practical challenge is keeping the log accurate under time pressure — a busy morning delivery window or a rush of residents arriving home at the same time creates real pressure to wave vehicles through with an abbreviated or skipped entry, which is exactly when the log becomes least reliable. Automated systems like LPR reduce this problem for identification but don't capture purpose or driver identity on their own, so many sites still pair automated capture with some level of manual logging for visitor and vendor vehicles.

A common failure is illegible handwriting, incomplete entries, or a log that's technically filled out but not actually cross-checked against anything — a driver can write any plate number they want on a paper sheet, and unless it's verified against the actual vehicle, the log records what was claimed, not what was true. Digital systems solve the legibility problem but are only as good as the officer's diligence in actually completing each field rather than rushing through it.

A properly maintained vehicle log is reviewed periodically by a supervisor for completeness, retained for a defined period consistent with the property's other records, and treated as evidence-grade documentation that may be requested in an investigation, not just a formality kept because the post orders say to.
