Incident Report

The written record an officer creates documenting an observed event, action taken, and follow-up needed.

An incident report is a written, timestamped record created by a security officer documenting what was observed or occurred — a break-in, a trespass encounter, a maintenance hazard, an alarm response — along with actions taken and any follow-up recommended.

Consistent, factual incident reporting matters for several audiences: property management deciding on repairs or policy changes, insurance claims, HOA board oversight, and, when relevant, law enforcement or legal proceedings.

Good incident reports stick to observed facts and actions taken rather than speculation or legal conclusions, since they may later be reviewed by attorneys, insurers, or a court.
